Finance and Administration Assistant

FULL-TIME (40 hours/week – Benefits Eligible)

Inspirica — from Homeless to Home  (formerly St. Luke’s LifeWorks) is one of the largest organizations serving homeless people in Connecticut.   We provide emergency, transitional and permanent housing, support services, youth services, education and employment training to more than 1000 adults and children in lower Fairfield County each year. In addition to being homeless, the people we serve typically suffer from mental illness, substance abuse and/or HIV/AIDS. Many further have severe cognitive impairments, a history of incarceration, little or no work history, and little or no education.  All of our participants live at or below poverty level. 

This position has responsibilities in Finance (60% time) and Administration (40% time).

Finance Assistant Duties (approximately 25 hours per week):  Working closely with the Chief Financial Officer and Finance Associate, he/she will be responsible for:

  • Processing Payroll

  • Monthly Tenant Billing

  • Grant application support

  • Preparing monthly and quarterly account reconciliations

  • Intercompany accounting

  • Prepare monthly journal entries

  • Cash management

  • Administrative record keeping in connection with capital projects

  • Supplies orders & management

  • Filing

  • Other accounting and finance duties as required


Administration Assistant Duties (approximately 15 hours per week):  Working closely with the Chief Executive Officer and the Chief Operating Officer, he/she will be responsible for:

  • Assisting the CEO  and the COO with administrative duties including calendar management; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries and agendas; and compiling and distributing  documents for meetings

  • Assisting the CEO and the COO with correspondence as necessary and requested

  • Coordinating meetings for the CEO and COO

  • Serving as administrative liaison to the Board of Directors (including Board Committees)

  • Other administrative duties as requested

Desired Qualifications

  • Bachelor’s degree (Finance or Accounting degree preferred).

  • Experience in Blackbaud (Financial Edge) helpful

  • Experience in Blackbaud (Raisers Edge) helpful

  • Experience as executive or administrative assistant helpful

  • Understanding of non-profit accounting principles and best practices.

  • Highly organized, strict attention to detail, and exemplary work standards

  • Ability to multitask

  • A team player

  • Ability to exercise good judgment, take direction, and maintain confidentiality of information

  • Proficient in Microsoft Excel, Word and Outlook
