Manager of Special Events and Volunteer Engagement

The mission of Inspirica (formerly St. Luke’s LifeWorks) is to break the cycle of homelessness by helping people achieve – and maintain – permanent housing and stability in their lives. We are one of the largest providers of services to the homeless in Connecticut. Each night, we house 350 people (over 1,000 individuals per year, including 250 children). Our residential facilities include emergency shelters, transitional housing, permanent supportive housing, and deeply affordable housing. We serve individuals across the spectrum of the homeless, including single men, single women, families, people with mental illness, and people living with HIV/AIDS.

Inspirica is one of only a few organizations nationally that is able to address both the physical component of homelessness (residential services) and its underlying root causes (support services) on a single, powerful, end-to-end platform. In addition to housing, we provide vocational training, workforce education, job placement, housing placement, job & housing retention support, children's services, early childhood & parenting services, case management, and more. We further collaborate with a vast array of external partners to provide medical/dental care, mental health care, substance abuse treatment.

Position Overview

The Manager of Special Events and Volunteer Engagement is a vital member of the Development team, serving as an ambassador to stakeholders and with responsibilities that include:

Special Events:

Lead the strategy, project management, and, with the assistance of the Development Assistant,  execution of special events that support Inspirica’s fundraising and relationship cultivation goals, including but not limited to four large-scale events held annually:

  • Spring Soiree (April) – Inspirica’s annual fundraiser, attended by 250+ community and business leaders;

  • Walk-a-Thon (October) – a 150-200 person walk-a-thon to stamp out homelessness;

  • Thanksgiving Drive and Giveaway (November) – a holiday drive and giveaway that supports over 700 families in need; and

  • Holiday Gift Collection (December) – a toy drive that fulfills the holiday wishes of nearly 3,000 children served by 30+ non-profits and social services agencies in greater Fairfield County.

Responsibilities include:

  • Working with all members of the development team, secure corporate and individual sponsorships for all major events, with primary responsibility for Spring Soiree

  • Coordinate and project manage all event logistics, including developing budgets, managing vendor relationships, identifying and securing venues, catering, A/V, multimedia production, etc.

  • Develop and lead staff plans for all events, including recruiting volunteers, managing all event staff and volunteers, and on-site event management

  • Cultivate relationships with and engage stakeholders as necessary, including external partners, members of Inspirica’s board, corporate sponsors, individual supporters, etc.

  • Maintain donor and/or volunteer records related to special events

  • Liaise with communications and development team to create event collateral and develop communications and outreach plan for promotion of special events

  • Proactively provide strategic assessment of and recommendations for Inspirica’s special events calendar

Volunteer Engagement:

With the assistance of the Development Assistant, oversee  Inspirica’s robust volunteer program across day-to-day opportunities and major events, including volunteer recruitment and outreach, placement and orientation, and evaluation, recognition and retention.

Recruitment and Outreach

  • Serve as an ambassador for the organization in the volunteer community

  • Ensure timely responses to all staff requests for volunteer activities and to all inquiries of volunteers and prospective volunteers

  • Oversee outreach to existing civic and school community partners as well as new prospects to encourage participation in individual and group volunteer activities

  • Coordinate outreach to the faith-based community with the Development team, as appropriate

Placement and Orientation

  • Create and implement effective strategies to recruit and place volunteers with the right skills within Inspirica’s programs and administrative offices

  • Work in partnership with Inspirica staff to ensure volunteers have meaningful work across the organization’s programs and administrative offices

  • Develop and continually refine an orientation program that increases volunteers’ understanding of the organization and its clients, as well as volunteer roles and responsibilities

  • Develop and implement processes to ensure that volunteers receive appropriate training and supervision

  • Prepare for and execute volunteers’ workdays

Recognition, Tracking, and Evaluation

  • Work closely with Development team to ensure appropriate volunteers are recognized for their contributions

  • Develop and oversee implementation of a plan to assess volunteer satisfaction and secure suggestions for program improvements

  • Ensure that volunteer activities and in-kind donations are documented and tracked

  • Track volunteer retention and turnover

  • Work closely with other members of the Development team to ensure that, when appropriate, volunteers are contacted about giving opportunities

  • Manage all in-kind donations to Inspirica

 

 Qualifications

  • Passion for Inspirica’s mission to break the cycle of homelessness

  • Demonstrated experience in special events, volunteer management, and/or fundraising at a non-profit organization

  • Flexible, creative problem solver with a can-do attitude

  • Excellent organization and time-management skills with impeccable attention to detail

  • Ability to work independently and in a team environment

  • Ability to be flexible and handle multiple priorities under tight time constraints

  • Ability to work evenings and/or weekends as needed for events

  • Bachelor’s degree required

  • Experience with Raiser’s Edge preferred
