POSITION DETAILS

The Manager of Operations role requires a combination of administrative management, IT technology, communications and office equipment systems capabilities. Some familiarity with business process management experience and strong business acumen would be desirable.  This role will manage the general day-to-day operations activities of the organization and help shape strategic planning to keep our infrastructure up- to-date, The Manager of Operation will report to the Chief Operating Officer. 

This position is Monday-Friday 8:30 AM – 5:00 PM.

  

ESSENTIAL DUTIES AND RESPONSIBILITIES

General Office [Technical Skills]

  • Responsible for operating and maintaining office equipment, arranging repairs when necessary and making recommendations on equipment needs when necessary.

  • Must have a broad knowledge of IT equipment and devices for new hire set up.  In conjunction with our outsourced IT vendor, manage IT network, including submitting tickets, requests for network accounts and purchasing new IT equipment and devices.

  • Administer Inspirica’s VOIP system and manage vendor relationship with VOIP provider.

  • Administer Inspirica’s security camera system, manage relationship with security system vendor and provide basic troubleshooting of security camera network.

  • Train employees and assist with questions or problems related to computer hardware/software.

Administrative Support 

  • Provide administrative support for C-Suite, including: meeting organization, drafting of internal/external communications, presentation development, answering and fielding incoming calls.

  • Process invoices, order and maintain supplies.

  • Support the organization of company events.

  • Perform other ad hoc administrative tasks as needed.

Organizational Operations

  • Responsible for developing, implementing and maintaining office policies and procedures, along with effective communications to the broader organization, including ensuring building safety and compliance, inclement weather communications.

  • Work in conjunction with the Director of Maintenance and Director of Property Management on Capital Budget projects to ensure all budgets are updated and controlled.

  • Liaison across Inspirica departments, including Director of Property Management, Director of Maintenance, Front Desk Manager and Program Leaders to ensure organizational needs are met operationally.

  • Performs other operations tasks as needed.

EDUCATION

(BA/BS) Business Administration or related field preferred.

SKILLS/EXPERIENCE

  • At least 2 years of office management experience.

  • Knowledge of IT/Telecom processes and best practices.

  • Experience with managing budgets.

  • Ability to maintain confidentiality.

  • Ability to exercise sound judgment.

  • Strong organizational and time management skills with attention to detail.

  • Demonstrated experience using Microsoft Office (managing email and calendar in Outlook, creating Excel spreadsheets with basic formulas and generating correspondence using Word) with a high degree of accuracy.

  • Superior written and oral communication skills.

  • Basic accounting knowledge preferred.

PHYSICAL REQUIREMENTS

Must be able to lift at least 30 lbs (e.g. office supply shipments, cases of water, etc).
